Why Context Gathering Is Critical for AP Managers in the AI World

A couple of years ago I wrote that “prompting” would become a core skill for finance teams. With AI now embedded directly into AP automation, prompting alone isn’t enough. The real shift is toward context understanding.

What do I mean by that?

Modern AP automation is no longer just rules and workflows. We’re now working with LLMs and AI agents that can interpret, decide, and act. That changes the role of the user. The value is no longer in clicking the right buttons or even writing the perfect prompt, it’s in bringing the right context into the process.

AI can read an invoice. It can match it. It can even suggest coding. But it doesn’t inherently understand your business, your exceptions, or the nuances of how things actually work in your organization. That part still comes from people.

So the skill is shifting. The best AP professionals won’t be the ones who know the system inside out, they’ll be the ones who know how to guide the system with context:

  • What matters in this specific situation
  • What exceptions are acceptable
  • What “normal” actually looks like in your business

That’s where domain knowledge becomes critical again, just in a different way.
